Background
UN Women, grounded in the vision of equality enshrined in the Charter of the United Nations, works for the elimination of discrimination against women and girls; the empowerment of women; and the achievement of equality between women and men as partners and beneficiaries of development, human rights, humanitarian action and peace and security. Placing women's rights at the center of all its efforts, UN Women leads and coordinates United Nations system efforts to ensure that commitments on gender equality and gender mainstreaming translate into action throughout the world. It provides strong and coherent leadership in support of Member States' priorities and efforts, building effective partnerships with civil society and other relevant actors.
The Intergovernmental Support and Strategic Partnership Bureau lead the work to develop and implement UN Women’s strategy for interaction with external partners, including for advocacy, communications and for mobilization of support both in terms of political will and financial resources, using effective partnerships with multi-lateral organizations. The staff work together in close collaboration with civil society, the media, private sector and the rest of UN Women.
The Communications & Advocacy Section, within the Intergovernmental Support and Strategic Partnerships Bureau, is responsible for proactively driving the strategic positioning of UN Women through effective communications and advocacy. Under the supervision of and guidance by the Chief of Communications & Advocacy, the Communications Analyst will inform and support the planning of public events at UN Women HQ, delivering protocol and branding support to the respective sections planning the public events. S/he will also, in close collaboration with other sections, develop and coordinate a systematic approach to establishing and maintaining a contact database to support event planning, outreach and knowledge sharing. In addition, s/he will oversee distribution of UN Women communications materials to regional and field offices to support knowledge sharing and increase outreach.

Duties and Responsibilities
Under the guidance of the Chief of Communications & Advocacy, the Communications Analyst will support the organization of UN Women public events and ensure proper protocol and branding thereof through guidance and acting as liaison to the UN Secretariat and other mobilizers in event management. The Communications Analyst will also develop criteria and coordinate with the Information Technology Section the creation of a robust contacts database for UN Women to support the organization in public event planning, distribution of publications and knowledge sharing.
Summary of Key Functions:
  • Serves as liaison between UN Women sections, UN Secretariat and external contacts in the planning of UN Women public events for external audiences;
  • Develops criteria and leads, in close collaboration with other relevant sections,  for an integrated UN Women contact database and coordinate establishment thereof with ICT;
  • Oversees distribution in partnership with HQ Facilities, Regional and Field offices for all materials under the purview of the Communications & Advocacy section.
Builds and maintains partnerships with internal and external stakeholders for public event planning:
  • Supervised by the Chief of the Section, serves as the focal point for public events between UN Women sections planning events and UN Secretariat sections such as Protocol, Special Events, Security, UNTV/Webcast and others;
  • Liaises with colleagues in Communications & Advocacy section to coordinate branding, AV, publications, social media, event promotion and other communications elements at events;
  • Provides guidance on necessary services and vendors, such as interpreters or producers, and on guest management;
  • Develops and maintains logistics and guidance notes for use by UN Women with a view to enhance knowledge  in event management;
  • Produces streamlined templates of communications and branding materials for use by UN Women sections organizing events;
  • Leads the development of a  vendor roster for event-related  needs;
  • Leads and coordinates event management for all events organized by the Communications and Advocacy section.
Coordinates establishment of an integrated contact database for UN Women:
  • Analyzes needs for contact database; based on these, leads the development of  relevant criteria for the system;
  • Coordinates establishment of the database in close collaboration with ICT;
  • Develops and delivers tutorials for UN Women Administrators to facilitate an organization-wide system of continuous updates by each section.
Oversees distribution of communications materials:
  • Oversees distribution of publications and communications material produced by the Communications & Advocacy section to New York-based stakeholders and UN Women regional and field offices;
  • To that end, serves as the focal point with regional and field colleagues to ascertain needs for such publications;
  • Coordinates with UN Women HQ Facilities to ensure delivery of needed Communications & Advocacy publications and materials;
  • Ensures the drafting of relevant correspondence for distribution of Communications & Advocacy publications and materials;
  • Systematizes distribution processes for the section for the upcoming year.
Impact of Results
This position will impact brand consistency of UN Women and heighten visibility for the organization by ensuring proper protocols at public events and increasing outreach to relevant stakeholders. The position will also bring an efficiency gain to the organization by streamlining the organization of public events as well as outreach and providing guidance to sections across UN Women Headquarters.

Required Skills and Experience
Education:
  • Master’s Degree in a relevant discipline.
Experience:
  • At least 2 years of experience in communications, including event design and branding.
Languages:
  • Fluency in English is required;
  • Knowledge of another UN working language is an asset.

Note:
In July 2010, the United Nations General Assembly created UN Women, the United Nations Entity for Gender Equality and the Empowerment of Women. The creation of UN Women came about as part of the UN reform agenda, bringing together resources and mandates for greater impact. It merges and builds on the important work of four previously distinct parts of the UN system (DAW, OSAGI, INSTRAW and UNIFEM), which focused exclusively on gender equality and women's empowerment.
